ADMINISTRATIVE ASSISTANT/GENERAL SECRETARY
JOB DESCRIPTION
Reports To: Senior Pastor
Position Status: Part-time hourly, 4-6 hours per day, 3-4 days per week. Pay rate is negotiable. You will be required to submit a time sheet.
Job Summary: Perform administrative assistant duties for the Pastor
Qualifications:
- Demonstrated knowledge and ability to use Microsoft Office (Word, Excel, PowerPoint)
- Excellent communication skills
- Ability to adapt to change
- Committed and motivated to achieve tasks assigned
- Ability to maintain confidentiality of sensitive information
- Ability to train others in computer and other technology
- Prior experience as an administrative assistant
Job Responsibilities/Duties:
- Maintain the pastor’s calendar and appointments
- Copy and print various documents as needed
- Order office supplies
- Schedule and maintain the fellowship hall calendar for weddings, meetings, funerals, and other events held in the hall and at the church
- Type, print, fold, and proofread programs for weekly Sunday services
- Keep membership records up to date by maintaining new members roster, and recording baptisms, marriages, deaths, and transfers in /out of the church
- Prepare certificates of transfer in/out of the church and notify other churches, if requested by new members
- Keep the mailing list up to date
- Keep the monthly church calendar current
- Keep office files current
- Take baptismal information, put on calendar, and prepare a certificate
- Maintain and upkeep of office equipment
- Order hymnals and Bibles, when needed
- Change yearly church calendar
- Update and read weekly Church announcements
- Receive phone calls, listen to, and respond to messages
- Update marquee sign Read condolences during funerals
- Check mailboxes daily
- Keep computer databases up to date
- Provide copies of by-laws and church constitution to members upon request
- Take notes from Pastor’s observations to make corrections to documents
- Update the sick and the shut-in list weekly
- Send condolences
- Sort and distribute Pastor’s mail
- At the annual church meeting, read minutes, type, and distribute agenda and take notes
- Provide tours of the church for wedding parties
- Update auxiliary members and officer lists each year
- Make sure annual days are published in local papers
- Send letters out to invite visiting churches for annual days
- Coordinate pest control and HVAC scheduled maintenance
- Perform other duties and responsibilities as assigned by the Pastor or designee
- Demonstrate a commitment to excellence in performing job functions
